Here are some important guidelines for conducting the survey in your church successfully.

A. Survey Ethics

Requirements 

Each participant is asked to answer all the questions honestly. The number of questions would vary depending on his/her status in life (e.g. whether married, single, etc.). 

The entire process should take no longer than 5 minutes, depending on the profile of the person taking the survey.

Risk

We do not anticipate any risks from participating in this survey. However, if one feels uncomfortable at any point, he/she may terminate his/her participation without having to explain himself/herself.

Anonymity and Confidentiality

Confidentiality is assured. We will not be able to identify any person or family by the responses we receive. Only group data will be used for presentations, conference proceedings, and/or publications.

B. The Survey Process

1. Pre-survey Preparations

We suggest that the church set up the Survey Leadership Team (SLT). 

This team shall be responsible for the following actions:

  1. To register the church for the survey. Please refer to the DO Home Survey User Manual for details.
  2. To plan how the survey is to be organised in the church. This may include the following actions:
    • Set the deadline for the completion of the survey exercise.
    • Meet the church leadership team to plan the process on the promotion and the implementation of the survey plan.
    • Involve the church leadership in challenging the congregation to complete the survey during the time period allocated for this.
    • Plan for the details of the Survey Launch Sunday that include the date and place of the launch, etc.
    • To provide hardcopy survey forms to those who are unable to use the online survey. The person (s) in charge will transfer the survey responses to the online platform within a week. The completed hard copies of the survey shall be kept in a secure place until the completion of the survey.

2. Leadership Team Survey

As mentioned earlier, there are two parts to the survey:

    1. Leadership Survey. This is to be completed by the entire leadership team of the church. This may include the top leadership team, supporting staff, and those leading various church ministries.

The explanatory note to this survey is found in the User Manual.

    1. Congregational Survey. This is for all church members 13 years old and above, including those who are involved in the Leadership Survey.

It is imperative that the church leadership completes the survey before the survey is introduced to the congregation. This will give the SLT the opportunity to review the feedback from the leadership team and identify any issue relating to the survey that needs corrective actions, if necessary, before the churchwide launch.

3. Survey Launch Sunday

On the Survey Launching Sunday, it is important to explain to the congregation:

  • The purposes of the survey.
  • The age limit of 13 years old and above.
  • The web link of the survey (through QR code, if needed). 
  • The survey completion options:  online or hardcopy. If the latter, you may need to decide on some housekeeping matters – for example, collection point, confidentiality and data input.

Based on past experiences, we get a higher congregational participation in the survey when this is done during Sunday worship services. You may consider allocating few Sundays for this, if necessary.

4. Survey Administration

Response monitoring. SLT could obtain the update on the number of persons who have completed the survey in the church at any time by accessing the DO Home Congregation Report (see User Manual for details).

We suggest that you get the update once a week and, if needed, take appropriate actions to ensure a higher participation by the congregation. One action the church could take is to update the congregation on the status of the survey (the number of those who completed the survey) on Sundays after the launch.

Reports. The church leadership can access both the DO Home Congregation Report and the DO Home Leadership Report at any time after the commencement of the actual survey.
